Sensium Community Fleet Access Program

Eligibility & Program Terms

1) Purpose of the program

The Sensium Community Fleet Access Program (“Program”) provides selected not-for-profit and charity organisations with access to Sensium Pool Vehicle Booking (software-only) at no cost, to support organisations delivering direct community benefit and operating shared vehicles.

2) Eligibility requirements

To be eligible, an applicant organisation must:

  1. Be a registered not-for-profit, charity, or incorporated association (or equivalent in their jurisdiction)

  2. Operate at least two shared/pool vehicles used by staff and/or volunteers

  3. Use the vehicles primarily for community, charitable, or public benefit purposes

  4. Provide accurate information as part of the application process

Sensium may request reasonable evidence to confirm eligibility (e.g. registration number, ABN, public listing, or similar).

3) What is included

If accepted into the Program, Sensium will provide the organisation:

  • Access to Sensium Pool Vehicle Booking (software-only)

  • Driver booking interface and fleet administration tools

  • AI-powered vehicle selection features (where enabled)

  • Standard business-hours support (subject to fair use)

4) What is not included

The Program does not include:

  • Telematics hardware or installation

  • GPS tracking, driver behaviour monitoring, or vehicle diagnostics

  • Integrations, custom development, or data migrations

  • On-site training or project services (unless explicitly agreed)

If an organisation requires telematics or additional services, these can be discussed separately under standard commercial terms.

5) Vehicle and user limits

Program access is subject to limits to ensure fairness and sustainability.

Unless otherwise agreed in writing, the Program includes up to:

  • Up to 10 vehicles (pool vehicles)

  • Up to 50 active users

Sensium may adjust limits by organisation based on operational need, available capacity, and Program demand.

6) Fair use and acceptable use

Program participants must:

  • Use the system only for the organisation’s operational vehicle bookings

  • Ensure bookings are made by authorised staff and/or volunteers

  • Not resell, sublicense, or provide access to third parties

  • Not use the Program for commercial vehicle hire or unrelated private use

Sensium may suspend or restrict access if misuse is detected.

7) Application assessment and selection

  • Applications are assessed periodically.

  • Places are limited and offered at Sensium’s discretion.

  • Sensium may accept, decline, or place applications on hold based on Program availability and alignment with Program purpose.

  • Due to application volume, Sensium may not be able to provide individual feedback for unsuccessful applications.

8) Program duration and review

  • Program access is provided at Sensium’s discretion and may be reviewed periodically (e.g. annually).

  • Sensium may request confirmation that eligibility and intended use remain valid.

  • Sensium may update Program conditions over time to ensure sustainability and fairness.

9) Support and service levels

Support is provided on a reasonable, fair-use basis:

  • Standard support: business hours (Australia/Queensland time by default unless otherwise specified)

  • Support scope: product usage and general assistance

  • Exclusions: custom development, system administration, integration work, extensive data cleanup/migration

10) Privacy and data

Sensium will handle personal information in accordance with its Privacy Policy and applicable laws.

Participants are responsible for ensuring:

  • they have permission to enter staff/volunteer details into the system

  • their use complies with their own internal policies and obligations

11) Public listing and case studies (optional)

If the participant consents, Sensium may:

  • list the organisation as a Program participant, and/or

  • develop a short case study describing the operational benefit

Consent is optional and can be withdrawn at any time.

12) Suspension or withdrawal

Sensium may suspend or withdraw Program access with reasonable notice where:

  • eligibility criteria are no longer met

  • the system is misused or used outside Program purpose

  • ongoing access is not sustainable due to capacity constraints

  • there is a security, legal, or compliance concern

Where possible, Sensium will provide notice and work with the organisation to transition off the Program.

13) No guarantee / availability

Program availability is not guaranteed. Sensium may modify, pause, or end the Program at any time.
